This Privacy Policy explains how kAI Labs LLC (“we,” “us,” or “our”) collects, uses, shares, and protects information when you use the Resignal mobile application.

1. Information We Collect

Account Information

• Your email address and name, if provided.

Audio, Transcripts, and AI Feedback

Resignal configures Apple’s Speech Recognition framework to require on-device recognition. Audio never leaves your device. We do not receive it or send it to OpenAI or another third party.

• Text Transcripts: The text created on your device is sent to our servers so we can provide the service.
• AI Feedback: We collect the feedback and interview analysis generated from your text transcript.
• No Biometric Identification: We do not extract, collect, or store voiceprints or other biometric identifiers from your audio.

Usage Information

• Basic app usage data and interaction logs.
• Device type, operating system version, and app-stability analytics.

2. How We Use Your Information

We use this information to:

• Create and manage your account.
• Generate, store, and display interview feedback and analysis.
• Provide customer support.
• Protect, maintain, and improve the app’s stability and performance.

3. AI and Service Provider Processing

To generate interview feedback and analysis, our servers send your text transcript to OpenAI through the OpenAI API. Raw audio is not sent to OpenAI.

• Model Training: We do not use your information to train AI models. OpenAI’s API data is not used to train its models by default.
• OpenAI Retention: OpenAI may retain API data for up to 30 days for abuse monitoring and then delete it under its API data policy.
• Cloud Hosting: We use Vercel and Neon as third-party cloud infrastructure and database service providers to host and process the information described in this policy.

We do not sell or rent personal information, and we do not share it for cross-context behavioral advertising.

4. Data Retention and Deletion

Our servers store text transcripts, AI feedback, account information, and basic usage information as follows:

• Transcripts and Feedback: These are stored securely to allow you to review your past interview performance. They remain on our servers until you choose to delete them or delete your account.
• Account Information: This is retained while your account is active and removed under the deletion timeline below after you delete your account.
• Usage Information and Logs: These are retained for no longer than 12 months.
• In-App Deletion: You can delete an individual record or your account in the app. Covered data is erased from our production systems within 7 days and cleared from our backup systems within 30 days.

In this policy, “erased from our systems” refers to Resignal’s production and backup systems. OpenAI’s handling of API data follows the separate retention period described in Section 3.

5. Data Security

We use reasonable safeguards designed to protect your information, including:

• Encrypted data transmission (HTTPS/TLS).
• Secure, access-controlled cloud storage.

No method of internet transmission or electronic storage is completely secure.

6. State and California Privacy Rights

Depending on where you live, including California, you may have the following rights:

• Right to Know and Access: You can request details about the personal data we collect and how we use it.
• Right to Delete: You can request the deletion of your personal data at any time (accessible directly within the app).
• Right to Opt Out of Sale or Sharing: We do not sell personal information or share it for cross-context behavioral advertising.
• Do Not Track (DNT): Our systems do not currently respond to browser or device “Do Not Track” signals, as we do not track our users across third-party websites or applications.

7. Age Requirement and Availability

Resignal is intended for adults aged 18 and older and is currently offered through the U.S. App Store. Registration includes a neutral age gate. We do not knowingly collect personal information from anyone under 18. If we learn that an account belongs to someone under 18, we will close the account and delete the associated personal data under the timelines in Section 4. A parent or guardian may contact us to request this deletion.

8. Changes to This Policy

We may update this Privacy Policy to reflect changes in our practices or legal requirements. We will update the date above and provide additional notice when required.
